What it's like to work with me

No surprises, no guesswork. Here's exactly how every engagement unfolds — from our first conversation to the day the work is done.

I designed this process because I believe the work itself should be the hardest part — not figuring out what happens next, when to expect something, or how to reach me. Every step is intentional. Every transition is clear. You'll always know where we are and what comes next.

The process is also designed to keep you in control. Before I send the contract, you've had a chance to review my recommendations and tell me exactly what you want to build. Before work starts, you've reviewed and approved the full scope in writing. And before I invoice, you have approved the deliverable. Nothing moves forward without your sign-off.

Getting started

Discovery Call

We meet on a complimentary 30-to-45-minute call to get clear on your situation — how your firm runs today, where the friction is, what you've already tried, and what you're hoping to build or fix. I'll ask a lot of questions. You don't need to prepare anything in advance; just come ready to talk through how things actually work, not how they're supposed to work.

This call is no-commitment and no-pressure. If it becomes clear that what you need isn't in my wheelhouse, I'll tell you that on the call and point you toward someone who can help.

What to expect

A Calendly link to self-schedule at a time that works for you. The call takes place via Zoom. No paperwork, no intake forms — just a conversation.

The deliverable

Operations Recommendations Report

After our Discovery Call, I put together a written report of operational recommendations tailored specifically to your firm. This isn't a generic checklist — it's a prioritized set of observations and suggestions based on what you told me, the way your firm is structured, and where I see the highest-leverage opportunities to improve your operations.

The report gives you something concrete to react to. You'll be able to see the full picture of what's possible before committing to anything.

What to expect

A written document delivered within five business days of your Discovery Call. It will outline recommended improvements, explain the reasoning behind each one, and give you a clear sense of scope and priority. It will also provide you a link to pricing so you can decide whether you prefer hourly, retainer, or project-based invoicing.

Your call

You Choose What to Build

Once you've reviewed the recommendations, you tell me which ones you want to move forward with. You might want everything. You might want to start with the two most urgent items and revisit the rest later. You might have a specific constraint — budget, bandwidth, a hard deadline — that shapes what makes sense right now.

There's no pressure to do it all at once, and no expectation that you'll rubber-stamp my list. This step exists because the right scope is the one that fits your firm where it actually is, not where it ideally would be.

What to expect

You can provide feedback via email, a phone call, or a follow up Zoom meeting. You may even decide to counter may recommendations with recommendations of your own. You'll also tell me your preferred invoicing method.

Clarity before commitment

Scope of Work & Pricing

Based on what you've selected, I'll send a detailed Scope of Work that spells out exactly what will be built, what's explicitly included, the timeline, and the cost. If you choose project-based pricing, there will be an estimated cost and a cap. No surprises, no scope creep that shows up on an invoice. You know the full cost before you commit to anything.

What to expect

A written initial SOW that covers deliverables, timeline, investment, and payment terms.

Fine-tuning

SOW Review & Finalization

You review the Scope of Work on your own timeline. If something isn't right — if you want to add a deliverable, remove one, or adjust the scope in any direction — this is the moment to do that. We can go back and forth as many times as needed until the document accurately reflects what we've agreed to.

Once you're satisfied, we both sign a Master Service Agreement and SOW and the project is officially on my calendar. I use simple, plain-English agreements so there are no surprises.

What to expect

A Master Service Agreement that details our contractual obligations to each other, with a written final SOW. These documents govern the collaboration and provide clarity for both parties.

We're official

Kickoff Meeting

With contracts signed, we schedule a Kickoff Meeting before work begins. This is where we get down to the nuts and bolts of the collaboration. I show you the systems we will use for secure communication, we establish what access I'll need (logins, platform permissions, relevant documentation), and we align on how the project will run day to day.

The Kickoff Meeting is where the project really starts. By the end of it, you'll know exactly what I'm building first, what I'll need from you along the way, how we will communicate throughout the project, and how to reach me if something comes up.

What to expect

A 45-to-60-minute Zoom meeting scheduled at a time that works for you. Your Asana project board will be shared before or immediately after this meeting.

The work

Asynchronous Work via Asana

Once we're off to the races, the work happens asynchronously. I don't require scheduled weekly check-ins or recurring calls during the build phase — I work, you run your firm, and we use a shared Asana project board as our central communication hub.

Every task, update, question, and decision lives in the board. You can check in whenever you want and see exactly where things stand. When I need your input, I'll tag you directly in Asana. When I finish a deliverable, you'll see it there first.

I also record short Loom videos throughout the project — walkthroughs of a completed workflow, a quick demo of how something works, or a visual explanation of a decision I want your input on. Sometimes seeing something in motion is worth more than a paragraph of text, so I lean on video whenever it makes things clearer.

And if you ever want to talk something through live, you'll always have links to schedule a 30-minute or 60-minute call at your convenience. Real-time conversations are available when you need them — they're just not generally required to keep the project moving.

What to expect

Secure, organized, and transparent — the Asana board replaces long email threads and status-update calls with a single shared source of truth. You'll be invited to the board immediately after the Kickoff Meeting. No Asana experience required; it's straightforward to use and I'll walk you through it at the Kickoff Meeting.

One More Thing

The 60-Day Follow Up

You've received all of your deliverables, you've paid the invoice, the engagement is complete. But... once that workflow is in production you realize you want to tweak something. The allotted time for a task is too short, the embedded walkthrough needs another step, or you're scaling and want to change the assignment for a specific user to a role.

This is normal. Once new processes are put in place - whether it's a workflow, an automation, or even a basic checklist - you begin to see something that you wish you'd done differently. Testing is great, but production is where the rubber meets the road. I understand that. We'll touch base after 60 days to see if any tweaking is necessary. If so, we discuss whether it's extensive enough to draft another SOW or if minor tweaks are enough. If it's just a nip and tuck, I'll do it gratis. If it's more extensive changes you want, we'll work together to draft a new SOW.
